2. Booking and Reservations
2.1 Booking Process
- All bookings must be made through our authorized representatives
- A deposit is required to confirm your reservation
- Full payment must be received prior to departure as specified in your booking confirmation
- All prices are quoted in US Dollars (USD)
2.2 Pricing
- Package prices are quoted per person based on double occupancy unless otherwise stated
- Prices are subject to change until booking is confirmed with deposit
- Airfare, hotel accommodations, and tour services are subject to availability
- Additional costs such as travel insurance, visa fees, and personal expenses are not included unless specifically stated
2.3 Age Requirements
- Travelers under 18 must be accompanied by an adult
- Some tours may have specific age restrictions which will be communicated at booking
3. Payment Terms
3.1 Deposit
- A non-refundable deposit is required at time of booking (amount varies by package)
- Deposit secures your reservation and is applied toward the total package cost
3.2 Final Payment
- Final payment is due 60 days prior to departure for most packages
- Bookings made within 60 days of departure require full payment at time of booking
3.3 Payment Methods
- We accept major credit cards, checks, and wire transfers
- Payment processing fees may apply
4. Cancellation and Refund Policy
4.1 Cancellation by Customer
- Cancellations must be made in writing to bill@galaholiday.com
- Cancellation fees apply as follows:
- 60+ days before departure: Deposit forfeited
- 30-59 days before departure: 50% of total package price
- 15-29 days before departure: 75% of total package price
- Less than 15 days before departure: 100% of total package price (no refund)
4.2 Cancellation by Gala Holiday
- We reserve the right to cancel tours due to insufficient enrollment or circumstances beyond our control
- In case of cancellation by Gala Holiday, customers will receive full refund or option to transfer to alternative tour
- We are not responsible for additional costs incurred (such as visa fees or connecting flights)
5. Travel Documents
5.1 Passports and Visas
- Valid passport required for international travel (must be valid for at least 6 months beyond travel dates)
- Customers are responsible for obtaining necessary visas and entry documents
- We can provide guidance but cannot guarantee visa approval
5.2 Health Requirements
- Customers must ensure they meet all health requirements for destinations
- Vaccinations may be required for certain destinations
- Travel insurance with medical coverage is strongly recommended
6. Travel Insurance
- We strongly recommend purchasing comprehensive travel insurance
- Insurance should cover trip cancellation, medical expenses, emergency evacuation, and baggage loss
- We can assist with insurance arrangements through our partners
7. Liability and Responsibilities
7.1 Our Responsibilities
- We act as agents for airlines, hotels, and other service providers
- We carefully select all service providers but cannot be held liable for their actions or omissions
- We are not responsible for changes in itinerary due to weather, political situations, or other circumstances beyond our control
7.2 Customer Responsibilities
- Customers must arrive at designated meeting points on time
- Customers are responsible for their personal belongings
- Customers must follow instructions from tour guides and local authorities
- Disruptive behavior may result in removal from tour without refund
7.3 Limitation of Liability
- Our liability is limited to the cost of the tour package purchased
- We are not liable for indirect, consequential, or punitive damages
- Claims must be submitted in writing within 30 days of tour completion
8. Changes to Itinerary
- We reserve the right to modify itineraries when necessary
- Significant changes will be communicated as soon as possible
- We strive to provide comparable alternatives when changes are necessary
9. Special Requests
- Special requests (dietary needs, room preferences, accessibility requirements) will be accommodated when possible
- Such requests cannot be guaranteed and are subject to availability
- Additional fees may apply for special accommodations
10. Photography and Marketing
- By participating in our tours, you consent to being photographed/videoed
- Images may be used for marketing purposes unless you opt out in writing
- No compensation will be provided for use of images
11. Complaints and Disputes
11.1 Complaints
- Complaints should be reported immediately to tour guide or representative
- Written complaints must be submitted within 30 days of tour completion
- We will investigate and respond within 30 days
11.2 Dispute Resolution
- Disputes will be resolved through good faith negotiation
- If unresolved, disputes are subject to arbitration in Los Angeles County, California
- California law governs these terms
12. Force Majeure
We are not liable for failure to perform obligations due to circumstances beyond reasonable control, including but not limited to: natural disasters, war, terrorism, civil unrest, strikes, government actions, or pandemics.
13. Changes to Terms
- We reserve the right to modify these terms at any time
- Changes will be posted on our website
- Continued use of services constitutes acceptance of modified terms
